Malta, IL Malta, IL Full-time Full-time $65,000 a year $65,000 a year 2 days ago 2 days ago 2 days ago Job Summary The HR Data Specialist plays a key role in assisting with the development, testing, implementation, and maintenance of Human Resources Information System (HRIS).
The Human Resources Data Specialist serves as the front-line respondent and internal contact for the College's HRIS system and oversees the data processing function for the Human Resources Department, including entering, maintaining, auditing, and processing sensitive HRIS data.
This position will assist the Executive Director Human Resources with HR related duties and data, including benchmarking, negotiations, reclassifications, audits, complex spreadsheets, and other HR related duties and projects and will work as a backup to other positions within the department to ensure continuity of services.
Description of Job Duty The HRIS Analyst is responsible for the support and maintenance of the Human Resource Information System (HRIS) in addition to other systems supported by the HR team.
Researches and resolves HRIS problems, unexpected results, or process flaws; performs scheduled activities; recommends solutions or alternate methods to meet requirements.
Documents all processes and results.
Experience managing vendor relationships and working to resolving issues Ability to become proficient with new software in a short timeframe.
Enters, updates, and ensures accuracy of data entry for HRIS software Ellucian Colleague.
Assists subject matter experts with ensuring data integrity, testing of system changes, and analyzing data flows for process improvement opportunities.
Serves as a key liaison with third parties and other stakeholders.
Maintains the data integrity between the payroll software, timekeeping system, and all other HR and Payroll table maintenance required.
Provides training and on-going support to new and existing users on the HRIS system.
Provides detailed documentation of HR processes and procedures in working with the HRIS system.
Assists in working with SURS on computing and editing of SURS contributions, processing information and appropriate documentation and assists in tracking eligible retirees for 6% SURS penalty.
Assists with the coordination of open enrollment and benefit related materials and procedures and other HR duties.
Assists with creating monthly reports for retirees on insurance plans.
Assists with COBRA, Workers Comp, FMLA, BCBS billings, employee flex spending accounts, employee life insurance accounts and providing and maintaining the College's 403b plan.
Maintain process documentation for all aspects of the position.
Process and distribute Form 1095-C annually Maintains personnel-related information and files and compiles statistical reports as needed.
Ensures compliance with Form I-9 Employment Eligibility Verification, periodically audits I-9.
Assists the Executive Director of Human Resources and Labor Relations with processing requests for information under the Freedom of Information Act (FOIA).
Assists in maintaining the college's goal and review tracking software.
Keeps abreast of changes in local, state, and federal laws and changes in Board policy and union contract language as they pertain to Human Resources functions.
Complete other duties as assigned.
Required Knowledge, Skills, and Abilities Must maintain the strictest standards of confidentiality as it relates to personnel actions and activities occurring in Human Resources.
Strong team player, ability to work within cross-functional teams and processes and clearly articulate complex information to achieve common goals.
Proficient in the following:

Research, data collection, data analysis and report generation skills.

Must be highly organized, able to multi-task, and have demonstrated initiative and ability to use independent judgement while managing multiple projects.
Must be comfortable with creating power-point presentations, documenting processes, procedures and leading presentations, asking questions and researching issues through resolution.
Possess excellent verbal and written communication skills:

Exceptional attention to detail, self-directed, organized and motivated.
Required Qualifications Bachelor's degree from an accredited college or university in Computer Science, Human Resources, Business Administration or a related field or equivalent combination (minimum of A.
A.
S.
) and experience.
Strong computer aptitude required.
Preference given for candidates with 3
years as an HR Data Analyst, Computer Information Systems Data Analyst, Human Resources Generalist or Human Resources Specialist working in Ellucian Banner, Colleague or Oracle preferred Strong excel skills required with HRIS experience preferred.

This position may periodically be required or allowed to work remotely.
